Note: This policy applies to you who visit our website or are the contact person for a customer account. For personal data uploaded inside our archive service (e.g., images and videos in the archive), we act as a Data Processor, and that processing is governed by our Data Processing Agreement (DPA) with the respective customer.

What data do we collect?

We collect information to deliver our service and improve your experience.

  • Contact details: Name, email address, phone number, and title when you register an account, book a demo, or contact us.
  • Billing information: Company registration number, billing address, and reference person.

Why do we process your data?

We process your data for the following purposes and based on the following legal grounds:

  • Security & Product Development: Analyzing user patterns to improve the service and prevent abuse. (Legal basis: Legitimate interest).
  • Delivering the service: Creating an account, providing support, and managing logins. (Legal basis: Performance of a contract).
  • Billing and accounting: Managing payments. (Legal basis: Legal obligation – Accounting Act).
  • Marketing: Sending newsletters and offers to business customers. (Legal basis: Legitimate interest – you can always unsubscribe).

How we share your data

We never sell your data. However, we may share information with selected subcontractors required for the service to function:

  • Analytics tools: Privacy-friendly analytics to understand how our website is used. All subcontractors are bound by confidentiality agreements and may only process data according to our instructions.
  • IT infrastructure: We use Amazon Web Services (AWS) for storage. Please note that data is stored in datacenters located in the United States.
  • Payment services: For card payments and invoicing.

Storage and security

We store your data as long as necessary to fulfill the purposes above. Customer data is saved as long as you have an active account. Accounting records are kept for 7 years according to Swedish law. We use industry-standard security measures (including encryption and access control) to protect your data.

Transfer to third countries

Because we use AWS datacenters located in the United States, your personal data will be transferred outside the EU/EEA. We ensure a high level of protection for these transfers by relying on the EU-US Data Privacy Framework (where applicable) and by implementing the EU Commission’s Standard Contractual Clauses (SCC) along with necessary supplementary security measures.

Your rights

Under the GDPR, you have the right to:

  • Object to marketing. To exercise your rights, contact us at info@arkivist.cloud.
  • Request an extract of what personal data we process about you.
  • Correct inaccurate data.
  • Request the deletion of your data (“the right to be forgotten”), provided it is not required by law (e.g., accounting).
